Kenyan operators issue different identifiers, and pasting the wrong one into the wrong page gives you a blank screen. So this guide maps each number to its home. It also explains what a stalled scan means and when a phone call beats another refresh.
Where each tracking number comes from for a parcel in Kenya
First, look at the paper you were given. Posta prints a 13 character Shipment ID on your receipt and tracks it on the PostGlobal page. Courier companies give you a waybill number, and G4S publishes waybill tracking on its own site. Jumia and Kilimall track by order number inside your account, not on a courier page. Karibu Parcels uses a Parcel Number such as KP78945. Easy Coach and Guardian Coach run counter or phone tracking with no reliable public portal. For those, your receipt and the counter phone number are the tracking tools.
Also, write the number down when you pay. A photo of the receipt works, as long as the digits are readable. Posta lists its tracking services on its own site.
A waybill is not a certificate of posting
However, the two papers look similar while doing different jobs. A waybill is the contract of carriage. It records the sender, the receiver, the weight, the declared value and usually the tracking number. A certificate of posting proves that the operator accepted an item for carriage, and nothing more.
It does not prove the nature, condition or value of the contents. On its own, a certificate of posting does not win compensation. So keep both documents, plus the insurance slip if you bought cover. Our guide on lost or damaged parcels in Kenya explains how each paper matters in a claim.
How often to check a parcel in Kenya
Overall, twice a day is plenty, morning and evening. Scans update at handover points, not continuously, so refreshing every ten minutes changes nothing about the parcel. Switch on SMS or email alerts if the operator offers them. Then let the system do the checking.
People who search for parcel tracking usually want one page that answers everything. That page does not exist, because each operator runs a separate system with its own update rhythm.
What a stalled scan means
Still, a stall is not a loss. The usual reasons are simple. A parcel sits in a sack between depots, a counter misses a scan, receiver details are incomplete, or the parcel is held for payment.
So read the last scan before you worry. For example, a departure scan means the parcel is probably still moving. An arrival scan at the destination depot followed by two quiet days is worth a call. A delivered status with nothing in your hand is worth a call the same hour.
When to call about your parcel in Kenya
Call when the promised window has passed. Call when there has been no scan for 48 hours on a next day service. Call when the status says delivered but your receiver has nothing. Call when the parcel is held, or when a delivery failed. Call too when the contents are fragile or valuable.
Have the tracking number, the sender and receiver phone numbers and the contents. Add the date and time you handed over, plus the amount you paid. Also ask for a case reference and the name of the person who helped you. That log is what you send to the operator in writing if the parcel never turns up. If you end up replacing the item, post the request on the Looking For feed and let sellers respond.
Keep the paper after delivery
Photograph the delivery note and the parcel before you open it. Then keep the receipt for at least a month. If you sell online, the delivery note is your proof of handover. Buyers ask for it more often than you expect.
Tracking tells you where a parcel is. Paperwork tells you what it was worth, which is the part that matters when a scan never moves again. Then read how to send a parcel from Nairobi to Nakuru if you are the one booking the trip.

FAQ
Can I track a parcel in Kenya without a reference number?
No. Without a number, the operator can only search by sender name or phone. Many counters will not do that at all.
Why does my tracking number show no record?
The number may belong to a different system, or the operator may not have scanned the parcel yet. Check the receipt, then call the counter where you handed it over.
Can I track an Easy Coach parcel online?
Easy Coach and Guardian Coach use counter or phone tracking with no reliable public portal. Then keep the receipt and call the counter you used.
Does a certificate of posting prove what was in my parcel?
No. It proves the operator accepted an item for carriage. It says nothing about the contents, their condition or their value.
